About.

Jenny Baldin, senior virtual assistant behind Ships It.

Jenny Baldin.

I'm a virtual assistant with 10+ years spent running projects and operations across multiple industries, including gaming, tech and commercial.

That means you get more than diary management. Same person for the admin, the coordination and the process behind it — no jargon, no theatre.

Day-to-day support

Inbox, diary, documents, follow-ups. The admin that eats your week, handled quietly.

Projects kept moving

I hold the plan, chase the details and make sure things actually get finished.

People kept in the loop

Clients, leadership and freelancers all know where things stand, without status theatre.

Systems that stick

Simple trackers, templates and intake processes so the same problem doesn't come back.

Across regions

Comfortable coordinating people, launches and vendors across languages and time zones.

AI-friendly workflow

Using AI to speed up drafting, summarising and routine admin — so I can spend more time on the work that needs a human touch.

How I help.

It's all virtual assistance — the only thing that changes is how much you hand over. Most people start with the everyday stuff and grow from there.

Everyday Assistance

The default. I take the day-to-day off your plate and keep it off.

  • Inbox, diary and task management
  • Research, documents and brief prep
  • Suppliers, invoices and follow-ups

Project Assistance

Assistance with a plan attached. I hold the timeline and chase the details so work lands.

  • Trackers, timelines and status updates
  • Standups, notes and actions that get closed
  • Freelancer and vendor coordination

Systems & Process

For when the same thing keeps going wrong. I set up the light process that fixes it.

  • Intake and request systems built from scratch
  • Templates, trackers and simple workflows
  • Agile Lite for teams that want less ceremony

Multi-market Assistance

Support that stretches across regions, languages and time zones.

  • Multi-market launch coordination
  • Localisation pipelines and vendor management
  • Regional handoffs and timeline planning

Not sure where to start? Book a short call and we'll work it out.

Case study.

Adapting Scrum for a graphic design team

A graphic design team was running a process that looked right on paper but wasn't working in practice. Work was getting lost, priorities were unclear, and handoffs were slow.

I adapted Scrum from a very tech-y workflow into Agile Lite — a lighter, creative-friendly process that still gave the team structure, visibility, and a regular shipping cadence.

Before

  • Heavy process with low adoption.
  • Priorities changed daily.
  • Creative work was being tracked like engineering tickets.
  • Reviews and approvals were getting stuck in handoffs.

After

  • Agile Lite: a tailored Scrum adaptation for creative workflows.
  • Clearer priorities and a visible backlog the team actually used.
  • Faster handoffs between designers, account managers, and stakeholders.
  • One source of truth in Jira with a simple, design-friendly board.

Tools.

Tool-agnostic by design

The tool is never the fix. The process is. I learn whatever stack a team already pays for, shape it around how they actually work, and get out of the way.

Jira is where I go deepest — years of it, across multiple companies. But I've built systems in Asana from scratch, run trackers in Notion, tidied up ClickUp, and set up client pipelines in Monday.com. New tool, same job: make the work visible and keep it moving.

Jira

.
Primary

My deepest tool. Used it across multiple companies — from engineering-heavy setups to a design team's Agile Lite board. Workflows, boards, reporting, clean-ups.

Asana

Built a support-intake system from scratch: request forms, routing rules, clear ownership.

Notion

Docs, trackers and lightweight databases for teams that want one place for everything.

ClickUp

Task hierarchies and views set up so people can actually find their work.

Monday.com

Visual pipelines and status boards for non-technical teams and client work.

Using something else? I'm happy to work in whatever system your team already relies on. The process matters more than the platform.

I'm AI-friendly too. I use LLMs to speed up drafting, summarising and routine admin, then apply my own judgment before anything reaches a client or team.
